Record the currency, tax treatment, billing interval, commitment and cancellation terms of the actual offer. A price displayed per month with annual billing is not the same cash commitment as a monthly subscription. Do not infer a final price from an affiliate-program example or a search snippet.

Build a quote reconciliation

Put the supplier's recurring subtotal, required extras, expected variable items and one-off charges on separate lines. Record whether each amount is confirmed or an assumption. Check the arithmetic against the quotation rather than silently correcting a discrepancy. If an annual commitment is quoted as a monthly equivalent, also record the actual payment schedule so cash timing remains visible. Ask which items would change if one person leaves or a number remains with the old provider. Do not net a promotional credit against every future month. Before accepting the quote, name the person who will check the first invoice against these lines. A quote that cannot be reconciled is a clarification task, not evidence that a competitor must be cheaper.
