Choose a small representative set
Define the normal open-hours call, no available staff, closed hours and voicemail handover. Add only genuinely different required branches. Use authorised participants and avoid recording or exposing real customer content unnecessarily. A rehearsal should answer a planned question, not generate activity for a dashboard.
Separate preparation from live reachability
A placeholder number or permitted temporary route can help configure and inspect a flow, but it does not prove the public number has transferred. Record exactly what was exercised and which external-carrier condition remains unverified.
Decide what failure means
Write an expected result, observation and owner for each route. Fix the smallest failed branch, then repeat only the relevant authorised check. Do not change the whole configuration while diagnosing one issue; doing so removes the comparison you need to understand the result.
A fictional rehearsal record
A team confirms its intended voicemail route and staff notification using an approved temporary setup. Its sheet still marks the main number’s external reachability pending. Both statements can be true: the prepared flow works, while the carrier transfer has not completed.
Keep the rehearsal small and interpretable
Prepare a row for each genuinely different route with precondition, expected outcome, actual observation and next action. A useful precondition might specify that the normal group is unavailable; without it, a ringing phone may tell you little about the fallback. Agree who participates and when, so the exercise does not become nuisance traffic or interfere with real callers. Stop if an unexpected consequence affects live service, preserve what happened and return to the authorised configuration. Do not label a repair successful merely because the settings saved. The evidence should identify which planned behaviour was exercised and which remains pending. Rehearsing fewer well-defined cases is more useful than accumulating many calls whose routes, conditions and outcomes were not recorded.
